Serve as the executive-level administrative assistant to the Vice President for Institutional Advancement and Development. Provide professional, efficient, high-quality administrative support in a fast-moving, detail-oriented environment. Diplomacy, professionalism, and customer service is paramount. The administrative assistant is an integral member of the institutional advancement and development team. The ability to work with highly-confidential information is critically important.

Duties Include :

  • Complete working knowledge of the Vice Presidents responsibilities and priorities relative to appointments, travel, meetings, etc.
  • Receive inquiries from faculty, staff, donors, and community members and respond to these inquiries in a timely, professional, and positive manner
  • Develop and maintain administrative systems within the office such as:
  • Coordinating an effective thank you and stewardship process for donors through letters, telephone, email, and database management
  • Analyzing, screening and prioritizing all mail received by the Vice Presidents office
  • Maintaining the division calendar
  • Coordinating logistics and documentation for quarterly Foundation Board meetings
  • Accurate and timely processing and reporting of all donations received
  • Processing and tracking all purchases made through the division
  • Completing routine data entry
  • Proactively conducting research
  • Maintain pertinent documentation and records required by PVCC and the Educational Foundation
  • Provide administrative support to the division as needed with a positive attitude
  • Minimum Qualifications

    Minimum Qualifications :

  • Administrative assistant and/or customer service experience
  • Superior computer skills to include word processing, spreadsheets, databases, online calendars, and use of the Internet
  • Significant experience with Microsoft Office Suite, Adobe Acrobat and database management
  • Ability to multi-task
  • Proven track record of successfully completing assignments by established deadlines with minimal supervision
  • Ability to learn new skills quickly
  • Demonstrated commitment to excellent customer service and interacting with colleagues in a positive manner
  • Strong communication skills
  • Associate degree or equivalent level of education and work experience
  • Ethical and able to keep information confidential
  • Preferred Qualifications

    Associate Degree and experience with The Raisers Edge.
