Executive Assistant: Become the Newest Member of the VF Family
This position coordinates a variety of administrative and project management duties to provide support to the VP, Product Creation Technology. Some of this work may be highly confidential.
How You Will Make a Difference:
Prepares confidential correspondence, reports and presentations, using word processing, graphics, and spreadsheets software. Researches and extracts data from various resources and systems when needed.
Completes daily administrative tasks that includes answering phones, filing of memos/letters, handling incoming/outgoing mail, email, faxes, copies, etc. Answers routine questions and furnishes information as appropriate. Has frequent access to highly confidential information and files. Schedules appointments and manages leader schedules when needed.
Serves as liaison between executives, managers and visitors as required; reviews requests and schedules appointments, interviews and meetings.
Enters and/or approves department bills as needed to ensure timely payment for professional services and vendors. Assist with monthly Forecast updates.
Completes expense reports on a timely basis for leaders in department as needed.
Coordinates all business travel arrangements; arranges travel schedule and reservation via Corporate Travel program; includes flight, hotel and ground transportation; files travel expenses for reimbursement.
Assists with meeting planning and set up; schedules conference rooms, orders catering, secures technology and other resources as required.
Develops and maintains good working relationships throughout the organization by exhibiting outstanding customer service skills with all internal and external customers.
Participates in special projects as required and needed.
Performs these and other departmental duties as assigned.
Skills for Success:
Years of Related Professional Experience: 5+ years
Ideally will have 5 years of administrative experience in a business environment or a background in travel or hospitality
High School diploma or equivalent; Associates degree or certification helpful
Strong PC skills (M/S Word, Excel)
Ability to work independently with minimal supervision; strong initiative
Strong communication skills, both verbal and written
Demonstrated ability to maintain strict confidentiality
Strong interpersonal skills to enable good working relationships with diverse personalities
Ability to work in a team environment
Exceptional organizational skills to handle multiple tasks to enable staff to meet critical deadlines
Ability to work in a fast-paced environment to meet deadlines
