Requisition Number: 18577 Location: Boulder, Colorado Employment Type: Classified Staff Schedule: Full-Time Posting Close Date: 16-Jun-2019 Close All Job Summary The College of Arts & Sciences welcomes applications for an Operations Technician . This position will provide technical support for a variety of academic processes for approximately 20,000 undergraduates in the College of Arts and Sciences. The position will receive and process various Dean's Office petitions including, but not limited to Intra-university Transfers, Change of Majors, Pass/Fail to Graded, and Late Drop requests. Moreover, this position will aid in training new staff regarding the aforementioned academic policies and procedures. The position will maintain logs for business processes and generate various reports at regular intervals and on an ad hoc basis for the Business Process Analyst. Working closely with the Business Process Analyst, this position will test and implement streamlined workflows to support undergraduate student petitions in the college. This is a behind-the-scenes role that is responsible for a large amount of data entry and workflow development. What Your Key Responsibilities Will Be Administrative Collect, log, and efficiently process student petitions, including intra-university transfer requests; change of majors; pass-fail to graded; reinstatetments; and academic advisor assignments. Remain knowledgeable of all relevant policies governing academic and degree requirements of the A&S and the campus. Assist in designing and presenting training regarding policies, procedures, and standards to staff. Develop and maintain proficiency in reporting tools; provide reports at regular intervals and as requested. Maintain confidentiality and data security of student academic and advising records. Communicate and collaborate with parties including Curriculum, Registrar, and academic advisors, and other internal and external stakeholders. Act as primary contact for updating policies and operating procedures on the A&S Operations webpage for customers. Develop and implement online logging system to track receipt and status of various petitions and requests; and provide reporting for processing. Identify, document, and correct errors when discovered in the unit's various business process. Assist the A&S Graduation Coordinator with various graduation tasks as needed, including; Letters of Completion, Letters of Intent, Retroactive Graduation Memos and Off Letters. Data Entry, Reporting, and Process Improvement Perform data entry in student records system relating to student majors and minors; and advisor assignment. Work with the Operations Business Process Analyst to implement automated student record keeping systems. Research, document, and correct errors in student records in the student information system. Develop recommendations for improved and streamlined reports and batch processes at the campus level. Develop, implement, maintain, and correct detailed reporting system for student data and requests. Maintain compliance with college or university policies and procedures, corrected and elevating issues as needed. Assist with review and reporting on undergraduate Academic Standing; and develop written guidelines for advisors and staff outlining academic processes and procedures. Three years of experience in an occupational field related to the work assigned to the position (data entry, operations support, workflow processes, etc). Appropriate education will substitute for the required experience on a year-for-year basis. What You Will Need Exceptional organizational skills with the ability to track multiple projects with strong attention to detail. Excellent computer skills with the ability to maintain accurate electronic records and to create and utilize sophisticated spreadsheets are essential. The position will interact with a wide variety of people and must have demonstrated ability to do so in a professional manner. Must have excellent oral and written communication skills. Demonstrated skill in producing high quality written reports for external audiences. Demonstrated proficiency with sophisticated spreadsheet manipulation and data processing for a high volume of data. What We Would Like You To Have Bachelor?s Degree. Experience with Campus Solutions/CU-SIS, Cognos (Reports/Finance), OnBase, MyCUHub (Salesforce) or comparable systems. Experience with electronic records management in a higher education setting. Experience in website design and management. Experience with Arts and Sciences degree requirements and academic policies and procedures.
