POSITION PROFILE Provides exceptional support and service supporting Sr. Vice President of assigned function through all mediums including correspondence, presentations, manuals, newsletters, meetings company activities, etc. Also provides team support to other senior level executive assistants and departmental assistants as appropriate. JOB DUTIES AND RESPONSIBILITIES Performs routine and advanced administrative duties in a highly professional manner May be assigned to log/monitor/manage key functional processes (i.e. customer complaints) Coordinates travel plans and itineraries, coordinates logistics for meetings/net meetings/conferences and maintains calendar on a daily basis. Use follow-up skills to track and confirm information Handles related correspondence, telephone calls and other functions as necessary Manages and organizes appointment calendar and schedules meetings Maintains private and confidential departmental files, records and issues Creates, proofs, revises and edits written material as needed Investigates and follows through on areas of concern and is responsible for problem resolution Creates and maintains department filing systems Uses and coordinates maintenance for local office equipment Serves as Scribe for meetings as needed Maintains department logs, reports, and/or data entry for functional databases Builds professional relationships with customers and other teams Seeks out opportunities to provide additional assistance and assumes cross-functional duties as necessary May have the responsibility for directing the work of other administrative positions Compiles and processes expense reports and invoices Ensures that adequate administrative support and phone coverage is maintained at all times Works in conjunction with other administrative staff to provide coverage and assistance as needed and promotes team environment Exceptional phone and communication skills, must exhibit high degree of customer service and follow-up in dealing with internal and external customers Transcribes documents involving a normal range of business vocabulary to include correspondence (possibly spread sheets), and presentations and composes certain appropriate correspondence.
