POSITION SUMMARY :
Keeps official corporation records and executes administrative policies determined by or in conjunction with other officials by performing the following duties.
POSITION DUTIES : Will have primary responsibility to provide assistance and support to CEO. Provides administrative support in a complex team environment to senior executives. Maintains complex and extremely detailed calendars and prioritizes meeting requests and related logistics. Assist senior executives in the administrative affairs. Handles a high volume of phones calls and interacts with high level business leaders in a professional and effective manner, screens incoming calls and correspondence and responds independently when possible. Prepares memorandums outlining and explaining administrative procedures and policies to supervisory workers, prepares and distributes corporate correspondence, memos, letters, reports or other documents as requested. Prepares presentation material per senior executives instructions. Assist with Public Relations activities assigned by the senior executives aid in the future development of the company. Responds and follows up on internal client requests. Assists in proposal writing, editing and presentations. Arranges programs, events, or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers, and controlling event budget. Directs preparation of records such as agenda, notices, minutes, and resolutions for corporate meetings. Acts as custodian of corporate documents and records. Takes and transcribes dictation, and composes and prepares confidential correspondence, reports, and other complex documents. Creates and maintains database and spreadsheet files. Coordinates and arranges a high volume of complex domestic and international travel arrangements and assists senior executives with itineraries, compiling of documents for travel-related meetings and processing of expense reports. Helps prepare for involvement in community organizations and events. Regular attendance is an essential function of this position. Perform other related additional responsibilities as assigned. Coordinates complex, senior-level internal/external meetings and conference calls. Responsible for participation in general administrative duties (copying, filing, faxing, archiving), ad-hoc projects, committees and or group events.
