General Overview

Partners Healthcare System seeks a Human Resources Assistant who will provide administrative support to the MGH HR management team at Massachusetts General Hospital. This is an excellent opportunity for a person who has the experience/desire to handle a wide range of administrative duties while supporting leaders in a fast-paced HR environment!

Principal Duties and Responsibilities: •Manage calendars for HR management team.
•Book conference rooms as needed.
•Use Doodle and/or other apps to schedule committee and working group meetings.
•Assist with scheduling search committees as needed.
•Participate in compensation reviews by gathering employee resumes and salary calculations, and creating or inputting data into a spreadsheet for review.
•Build and/or run Access and PeopleSoft queries as requested.
•Provide front line customer service support to employees and applicants visiting the HR office located on the main campus of MGH.
•Answer all incoming phone calls including calls from employees, managers and outside callers.
•Direct caller to the appropriate resources.
•Support employees who have questions about benefits, PeopleSoft,Employee Self Service and other general HR related services.
•Orient walk-in candidates to the online application system and answer general questions.
•Conduct telephone reference checks for potential hires in a professional manner.
•Post jobs on corporate website.
•Assist HR team with administrative tasks such as faxing, copying, filing and creating interview and job fair information materials.
•Process HR staff payroll using Kronos.
•Monitor supply inventory and order supplies.
•Manage contracts for office equipment (printers, copiers, etc.) as well as maintenance and repairs.
•Direct and redirect internal and external mail to appropriate recipient.
•Assist in reporting building maintenance issues.
•Fill in for HR senior vice president’s executive assistant as needed.
•Other responsibilities and projects as assigned.


•2 – 4 years administrative support experience
•Experience with Microsoft Office and Outlook required
•Multiple language experience is a plus!
Skills, Abilities, Competencies:•Finely tuned customer service skills
•Solid experience with Microsoft Word, Excel and PowerPoint
•Experience handling high volume, multiple tasks and a wide range of customers
•Excellent written and verbal communication skills
•Demonstrated problem-solving skills
•Ability to manage sensitive and highly confidential matters
