Job Description

Secretary supports ROTC Detachment 560:6 Cadre staff and ~150 cadets from 33 cross-town programs within the Department of Aerospace Studies.Manages official correspondence, scheduling, visits and events for the detachment.Directly reports to the Department Chair who also serves as the AFROTC Commander for the NYC region. Additionally, this position supports management of cadet records, uniforms, scholarship applications and admissions. This is considered a position of trust.

This position is a Part-Time position.

Performs a wide range of secretarial duties including general typing, word processing, correspondence, memoranda, statistics; proofreading materials, managing unit and department chair appointment; greeting and orienting new faculty and students

Represents Manhattan College(MC) and AFROTC to perspective students in person and via phone; communicates MC and AFROTC program requirements with students, prospective students and family members

Communicates frequently with affiliated colleges and universities to supply or request information; maintains related contact lists of addresses/phone numbers for all cross-town programs and contacts within the NY metro area; fully knowledgeable to MC/ROTC requirements to effectively communicate; maintain awareness, familiarity with administrative organizations of affiliated colleges and universities

Fully understands computer/internet/software systems toe execute the MC/AFROTC mission; is capable of using excel and online spreadsheets to interface with USAF database systems

Assists in administering clerical details related to the ROTC uniform commutation program, handles ordering, requirements, financial details and program records; provides uniforms to ROTC cadets IAW uniform policy

Responsible for managing Department funds for supplies, equipment and reimbursements; maintains knowledge of financial accounting practices as well as MC and ROTC reporting procedures

Performs a variety of routine clerical duties such as: sorting, electronic filing, scanning, duplicating, supply orders, tracking inventory, preparing/executing fax/overnight mail
