Our client, an investment advisory firm, is in search of a Client Services Administrative Coordinator to support the Client Services team. This role will predominately support the Head of Client Services, an additional executive, and liaise with the Client Services team overall. COMPANY: Investment Advisory Firm
POSITION: Temp-to-Perm Client Services Administrative Coordinator
LOCATION: New York, NY
HOURS: 8:30am - 5:30/6:00pm overtime eligible
COMPENSATION: $70-75K + paid OT + discretionary bonus + lunch

Responsibilities of the Temp-to-Perm Client Services Administrative Coordinator: - Provide administrative support to the Head of Client Service (Managing Director), 2 other MDs, and 4-5 others (associate to analyst level)
- Assist with meeting planning and calendaring key meetings and events for Client Services; backup phones as needed, travel arrangements, expense reports etc.
- Onboard clients in SalesForce; retrieve data from relevant documents and input into Salesforce; process service coding for clients
- General Salesforce maintenance such as updating addresses and relevant data
- Manage quarterly fund correspondence, formatting letters, etc.
- Follow up with capital call payments, incoming/outgoing wire discrepancies with clients and banks
- Process subscription documents and follow up with investors and legal/compliance to ensure that the documents are accurately completed, and all relevant information is compiled
- Special projects as needed Requirements of the Temp-to-Perm Client Services Administrative Coordinator:
- Minimum two to three years of experience working as an administrative assistant, preferably supporting multiple professionals and out of a corporate environment
- Bachelors degree, accounting preferred
- Excellent organizational skills and strong attention to detail
- Excellent communication skills, both verbal and written, including ability to communicate effectively and professionally with clients
- Excellent computer skills required; MS Office: Word, Excel, PowerPoint, Outlook
- Comfortable with CRM database systems, currently using Salesforce

- Ability to multi-task when given time sensitive projects
- Must be motivated, self-directed and proactive
- Must work well under pressure
- Strong sense of professionalism and work ethic
- Ability to be discreet and handle confidential, sensitive information
- General understanding of the finance industry preferred
- College degree or equivalent experience
- Accounting or bookkeeping background a plus, but not required
