Title: Temporary Part-time Lock Box Processor (up to 12 available openings).

Location: 220 Liberty Street Office, Warsaw, NY

Schedule/Hours: Part-time temporary positions are scheduled from 20-40 hours per week; depending upon volume. Flexible schedule available from 8:00am-9:00pm. Flexibility is also needed for daily start and end time depending on workload.

Function: Responsible for billing, processing, scanning, and reporting payments as requested and defined by lock box customers. Train and monitor temporary staff needed for high volumes. Work as back up for sorter operator, encoder, oversee and adjustment staff.

Worked Performed

Essential Functions:

Operate the payment-processing systems as required.

Open and sort all lock box customer mail.

Verify and/or prepare payments for processing.

Copy requested items for remittance.

Return all requested remittance to customer.

Prepare deposits and payments for all lock box customers and loan payment processing.

As requested stamp payment remittance with paid stamp.

Memo post accounts as requested after sorter processing.

Prepare Excel files as requested.

Annually count and log number the number of items processed when/if account is not processed through the lock box systems.

Prepare and submit to data entry updates of charges to account analysis.

Fax or e-mail requested reports to specific destinations, daily, weekly or monthly.

Verify account history with duplicate documentation.

Backup in the encoder, oversee and adjustment positions.

Schedule, train and set up of temporary staff for heavy volume processing.

Performs customer requested research of historical data.

Inventory lock box supplies monthly.

Contact lock box customers regarding cut off dates and problem transactions.

Drafting new/updated lock box procedures.

Encode and verify return items.

Monitor lock box retention documents.

Perform minimal machine maintenance on lock box system hardware.

Make sound decision regarding efficient workflow, area in need, staff shortage, late couriers, etc.

Knowledge of all hardware and software of lock box equipment.

Schedule quarterly preventive maintenance for lock box hardware.

Perform research of processed payments as requested by lock box or bank staff.

Non-Essential Functions:

Cross train as sorter operator and encoder.

Perform other duties as assigned or directed.

Stay abreast of lock box related information, equipment, methods, etc.

Basic Qualifications:

High School Diploma/GED

Ability to meet regular attendance requirements and schedules established for the department. These may be modified as needed to special projects, staff shortages, heavy workflow, etc.

Ability to lift approximately 20 pounds performing sorter operator duties.

Ability to maintain constant steady workflow under high volumes.

Experience in Access and Excel software programs

At least 6 months lock box experience

Will be required to complete/achieve CORE competencies of position as set forth on the employee development outline.

Degree of Supervision Received: Moderate
