What You Will Be Doing This position has a dual role, as an Administrative Assistant/Tax Processor in the Assembly/Processing Department consisting of two staff members. Candidate will assist in the processing of tax returns, monitoring the status of returns, managing the tax deadline tracking system, updating and tracking client forms, and document scanning and management. Candidate will also provide administrative support to the Office Manager and the professional staff as needed. - Data entry with high attention to detail and accuracy - Assemble tax returns and extensions in proper order with appropriate attachments - Deliver completed tax returns securely to clients via portal, email or mail - Monitor tax control log and associated reports - E-filing of all tax returns (releasing returns, checking status of released returns, following up on rejected returns) - Sending in the supporting documentation for E-file forms - Scanning and filing signed copies of E-file forms to clients' files - Sending out status updates on E-file forms to tax managers close to deadlines - Communicate effectively and professionally with clients via phone, email, fax, and occasionally in person - Assist in the file room and/or at the front desk outside of busy season and other times as workload permits - Coordinate and assist with special projects as needed, including annual engagement letters and organizers - Other duties as assigned What You Need for this Position At Least 3 Years of experience and knowledge of: - Minimum of 2 years' tax return processing experience or 2-5 years working in public accounting firm - Ability to work independently and exercise good judgment, be a team player and be proactive - Ability to adhere to strict security procedures at all times in handling confidential and sensitive information - Strong organizational skills, high attention to detail, ability to prioritize tasks and handle multiple projects - Strong communication and interpersonal skills, both verbal and written - Ability to navigate and resolve conflict, meet tight deadlines and handle stressful situations effectively - Ability to work long hours, including weekends and evenings, during tax season and during other deadline periods - Experience in Microsoft Office with intermediate skills in Word, Excel, and Outlook - Experience with Adobe and PDF's - Experience in tax software, preferably UltraTax What's In It for You - Vacation/PTO - Medical - Dental - Vision - 401k So, if you are a Office Admin Assistant (Finance/CPA firm experience desired) with 3-5 years experience, please apply today!
