Position Summary

Reporting to the Associate Director, Young Alumni and Student Relations, the Assistant Director, Alumni Relations leads data-driven initiatives for the Alumni Relations team and utilizes engagement data to assist with the development of programming for the student and alumni communities. S/he is responsible for the tracking of alumni volunteer engagement and participation and will monitor Alumni Relations efforts to obtain and continuously improve upon the quality of alumni data to more effectively tailor programming to meet the needs of the Columbia Business School community. The Assistant Director knows the value of accurate data and its potential to help drive team/department strategies and will take pride in improving data integrity across the Alumni Relations team. Additionally, the Assistant Director is detailed-oriented and a polished manager of time and resources. S/he is a strong and motivated team member, invested in raising the bar for Alumni Relations and meets the core and partnership values of teamwork, integrity, accountability, and respect.


* Manage alumni relations data collection, recording, and analysis. Provide critical reporting and data analytics to inform alumni relations strategy, corporate relations strategy, and select center/program strategy. Work closely with the Alumni Relations team to analyze data, set benchmarks, and develop engagement strategies for the alumni community based on alumni engagement data. Maintain portfolio of data-centric one-pagers for key geographic regions, and create same for new regions as needed. Manage registration and attendance tracking for all Young Alumni and Student Relations events.
* Process and update data obtained from registration of various events. Communicate data collection updates/processes, timelines, and specifications to Alumni Relations and External Relations staff. Provide reporting and tracking support for student club leaders seeking event speakers and produce metric reports.
* Oversee the timely data transfer from MBA, EMBA, MS, and Executive Education student databases to Alumni Relations databases (Alumni Directory, Athena), ensuring that student club participation and leadership is annually recorded into the alumni database. Coordinate regular updates to alumni engagement data, volunteer records, committee member records, and club leader records. Provide ad-hoc alumni engagement reporting to the Alumni Relations team and other teams within External Relations and Development, as needed.
* Work with the Associate Director, Young Alumni and Student Relations to provide guidance and administrative support for 18-22 student organizations hosting professional conferences annually, including utilizing alumni employment data and engagement metrics to identify potential speakers; tracking and vetting potential speakers; and providing support in tracking student communications with alumni and external constituents. Manage tracking of all alumni participation and/or attendance at student conferences.
* Manage the development of data-centric event best practices and oversee timely updates to alumni contact and employment data to improve the quality of Alumni Relations programming, including an annual campaign to collect contact information from new graduates. Coordinate with the Senior Associate Director and Managing Editor, Strategic Communications to collect and publish class notes in the Columbia Business magazine.
* Provide event management support for Reunion Weekend, including support for 1st-year Reunion class-specific programming. Run ad hoc reports of Reunion registrants to meet the needs of the Alumni Relations team; manage regular year-over-year comparison reports on Reunion registration. Make weekly additions to Reunion registration tracking in Athena database, track all VIP registrants and submit research requests as needed. Provide support on data-specific sections of Reunion-related briefings and manage data for the creation of Reunion name badges in partnership with a 3rd-party vendor. Reconcile final attendance statuses in Athena database for all Reunion registrants.
* Manage alumni auditing program. Track all auditing-related inquiries from alumni, and coordinate with the Office of Student Affairs and EMBA program team as needed. Serve as the primary liaison for Executive Education programs on questions surrounding alumni tuition benefits.

Draft customized MBA, EMBA, MS, and Executive Education student and young alumni communications as needed.
* Purchase and coordinate the distribution of student graduation gifts, and maintain the supply of Young Alumni and Student Relations merchandise.
* Staff local young alumni and student events - including family programming, Columbia Forever Week, and graduation ceremonies and provide related event support. Staff signature alumni events, including Reunion Weekend and Annual Dinner, and perform related duties and special projects as needed and assigned.

Minimum Qualifications

Bachelor's degree and/or its equivalent and 2-4 years of related experience, required.

Minimum two to four years related experience ideally in Alumni Relations, Student Affairs, Student Development, or another event management field. Proven intermediate to advanced Microsoft Excel skills. Basic knowledge of HTML and previous database management and reporting experience a plus. Must have the ability to handle a multitude of tasks under deadline pressures and have the ability to work in a high-volume, high-demand (but highly collaborative, supportive, team-oriented) office. Must be creative, enterprising, persuasive, and tactful. Excellent oral and written communication and interpersonal skills required. Some evening and weekend hours required.
