Withour purpose beingthe center of everything that we do, the AV Coordinator role will help drive the power of communications to life.As an AV Coordinator, you will be responsible forsupporting and enhancing the collaborative exepriencefor one of our most important customers. This role will help liaison between the clients and the subservices provided by our IT and collaborations team.

What you'll be doing

Thisopportunity willserveas a central point of contact to customers in advising, planning, and operationalizing a meeting through coordination of all aspects of the event. Coordination of multiple sub services ensuring delivery. This may include booking rooms, planning logistics, travel within campus, F&B (Catering), Security and arranging for AV/virtual/production suppliers including webcasts needs. Manages the subservices to ensure all services are delivered according to the clients requirements.

Manages all aspects of the room reservation. Reserves the rooms in Outlook via generic mailbox, provides guidance on room availability, approves/declines room reservations. Delivers administrative tasks related to crew requests, billing, facilities requests & technological needs. Enters and tracks all event information into the IT SharePoint site and confirms with the Technical Support.

  • Oversee and follow up on all meeting components and logistics from beginning to end.

  • Manage, maintain, and update the documents and timelines.

  • Assist in walk through by taking measurements, notes and photos.

  • Liaise and negotiate with services and vendors for the client to offer the most cost effective solutions in order to stay in budget and maximize profitability.

  • Along with client, assist on site when necessary.

  • Be the point person for advisement, troubleshooting and ensuring event is executed as planned.

  • Submit work orders for event on behalf of end user and meet with service providers to review details of work or advise (strong knowledge of each process)

    Engage REFS teams (facility services, security, janitorial, food services) and external vendors (transportation, production, design) for event set-up/execution/break-down, ground transportation, security details.

    Collaborate with (clients, IT, A/V REFS) to ensure flawless planning and execution

    Provide logistical support to the events team, including but not limited to preparation of on-site materials, obtaining supplies and equipment and printing/assembly/shipping of materials

    Develop Standard Operating Procedure (SOP) for meetings:

  • Provide guidance and support to end-users responsible for self-service meetings
