This is a Full Time Position - Must be available to work Monday thru Friday 8:30am to 6:00pm
Alpine Health is looking for a Personal Assistant/Administrative Assistant to report directly to our CEO. This position will work under general supervision to coordinate the overall functions of the office, work and personal life of our CEO. This position will be located at our corporate office in Secaucus, NJ.
Responsibilities included but not limited to:
Act as the point of contact between the CEO and internal/external clients/contacts
Act as primary gatekeeper and liaison to clients/vendors and employees
Reminding managers/CEO of important tasks and deadlines
Screen and direct phone calls
Sorting mail and distributing to appropriate employees/departments
Screen emails and direct emails to appropriate employees/departments and respond to external emails in a professional and timely manner
Handle requests and queries appropriately
Manage calendars by scheduling calls and meetings, sending calendar invites, and making sure they are on scheduled calls
Submits invoices to the finance team
Booking complex travel and lodging for CEO including overseas travel
Order office supplies
Audits documents for errors by proofreading
Ordering snacks for the office & CEO
Running personal errands regarding daily aspects of living (ex: dry cleaning, shopping centers, lunch/breakfast arrangements...etc.)
Arranging for maintenance and repair of cars and other equipment as needed

Requirements:
Proven work experience as a Executive Assistant/ Personal Assistant
Excellent references from both current and previous employers
Previous work experience working with a CEO
Professional, refined, and organized demeanor
Demonstrated advanced-ability in calendar management, word processing and spreadsheet software programs including Microsoft Office products (PowerPoint, Word, Excel, Outlook)
Outstanding organizational and time management skills
Detail oriented with the ability to multitask and prioritize daily workload
Ability to maintain flexibility and solve routine problems
Ability to exercise sound judgment and make decisions in a manner consistent with confident leadership; ability to think independently
Ability to work well independently or in a team environment
Excellent verbal and written communications skills
Valid driver’s license with clean MVR
Ability to prepare written reports and correspondence, and presentations as required

Ability to adapt to changing needs
Must be able to speak, read and write in English

Bachelor’s degree preferred, plus 5 years’ experience as an Executive Assistant/Personal Assistant reporting to a CEO.
