With oversight and direction from the Vice Chair of Education and the Associate Director of Surgery Education Programs, the Administrative Coordinator is responsible for administrative support relating to graduate medical education functions, including but not limited to, ensuring all call and rotation schedules for trainees are accurately maintained in both hardcopy and online version. Procures and maintains appropriate visas for foreign medical trainees across all Surgical Programs. Responsible for the timely completion and return of all training verification requests for former trainees for outside licensing agencies. Maintains effective working relationships with internal and external Hospital Administration, State Regulatory Agencies and other internal and external regulatory agencies. Promotes confidentiality of protected information at all times. Sits as an example of organizational skills and ability to adapt to an ever-changing environment. Uses acquired knowledge to make division processes and practices effective and efficient in line with departmental standards.

The Administrative Coordinator will continually analyze administrative workflow, maintain databases, communicate with faculty, trainees and other administrative personnel regarding a range of issues, and manage internal and external medical education program relations.

* Supports Associate Director of Medical Education and Vice-Chair of Education in Surgical Education related matters
* Maintains a firm knowledge and current understanding of State medical licensure standards, medical staff bylaws, rules and regulations, medical board and Housestaff policies, ACGME standards and Medicare reimbursement rules.
* Responsible for ensuring housestaff obtain appropriate visas for employment in training programs (J1, H1B, O)
* Maintains master Housestaff schedules, including monthly masterworks, in-house call, at home call, monthly rotation schedules and Qgenda.
* Processes paperwork and on boards residents rotating from external programs to ensure compliance; maintains current program letter of agreements (PLAs) as required for Housestaff Rotations
* Completes education and training verifications and required transfer letters/letters of recommendations for external agencies/institutions
* Processes paperwork and assists in credentialing process for Housestaff Moonlighters
* Performs others duties as required related to medical staff, Housestaff, and graduate medical education activities
