Description The salary listed does not include the scheduled 3% general salary increase effective 7/1/2019 The Department of Children, Youth, and Families is a new cabinet agency in Washington State that has been established for the purpose of delivering existing services in a way that produces better outcomes for children, youth, and families served by the State of Washington. We're looking for professionals to join our team to help build DCYF. We need your secretarial experience at our office in Tumwater to assist our efforts to support families and communities in keeping children safe. You will provide secretarial services and assistance to relieve day-to-day secretarial duties from supervisors and staff. Some of what you'll do: Maintain filing systems, databases, multiple tracking logs and computer programs. Coordinate office operations and initiate action to ensure that office goals are met. Answer the main telephone and act as receptionist to the clients, community members who enter the office. Resolve written communication and clerical problems with discretion. Assess the equipment needs of the office and make recommendations for purchase, repair or replacement of office equipment. Open and close records, split case volumes, process closed/inactive files for AppEx and use the established tracking system for archiving and retrieving case records. Complete tasks associated with discovery/public disclosure requests. Schedule meetings, take notes, and transcribe minutes. Assist with obtaining translation and interpreter services. What we are looking for: Professionals who have a High school diploma or equivalent, and two years of increasingly responsible office experience. In addition to those required qualifications, our ideal applicant will also have some or all of the following: Ability to use online applications and multiple software applications to accurately perform various computer tasks Communicate effectively and in a professional manner with clients, community partners and the general public, both verbally and in writing. Ability to maintain confidentiality. Possesses strong organizational skills. Ability to provide a high level of customer service at all times. Familiar with office machines (postage and folding machines), supply inventory and ordering processes.
