POSITION SUMMARY

This position acts as the right hand to the CEO, holds executive presence across internal and external constituents, and manages projects and initiatives that originate in the Executive Office, while managing its day-to-day operations. The EA acts as project manager for the organization?s Strategic Priorities & Goals, ensuring that communication pathways across the organization are open and clear for all staff to understand organizational direction. The EA manages an Administrative Assistant who executes tasks as needed in support of the smooth functioning of the Executive Office and full Senior Leadership Team, in addition to any appropriate cross-organizational bodies. The EA attends and supports Senior Leadership Team meetings, holding organizational well-being as the topmost priority in all matters, and reports directly to the CEO.

ACCOUNTABILITIES

Acts as liaison between the CEO and internal and external constituents; acts as a partner in thoughtfully stewarding all relationships including the Board of Trustees, internal staff members and Faculty, donors, strategic partners, local leaders and politicians.

Manages cross-organizational initiatives and projects that originate in the Executive Office including Organizational Priorities & Goals (in partnership with SLT), departmental Inquiry Sessions, and Kripalu Champions program (in partnership with HR).

Manages communications, email, and phone for CEO, including transcribing brainstorming conversations for CEO thought pieces, and drafting internal communications.

Manages organizational reporting structures to the BOT, and for disbursement across the organization, including quarterly dashboard.

Manages cross-organizational information shared on the Kripalu Intranet.

Assists CEO with short and long-term projects.

Serves as thought partner to the CEO.

Conserves Executive?s time by reading, researching, and routing correspondence; drafting letters and documents; and collecting and analyzing information.

Manages an Administrative Assistant who executes tasks as needed in support of the smooth functioning of the Executive Office and full Senior Leadership Team

Ensures the CEO receives basic clerical support, including maintaining historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions.

Maintains CEO appointment schedule by planning and scheduling meetings, conferences, events, teleconferences, and travel with precision and appropriate notice.

Coordinates and supports production and logistical needs for Executive meetings, on-site Board of Trustees meetings, Town Hall meetings, and other events and activities, including scheduling, room preparation, and A/V technology.

Prepares PowerPoint, Word, Excel and other materials for meetings and other events.

Conducts web-based research on priority projects as directed by the CEO.

Maintains confidence and protects operations by keeping information confidential.

Is accountable for specific responsibilities and tasks in support of the CEO and Senior Leadership Team.

Completes additional tasks and projects as assigned by the CEO.

ESSENTIAL SKILLS AND EXPERIENCE

Minimum of three years direct experience supporting executive level administration or its equivalent.
Bachelor s degree or equivalent experience required; Master s degree preferred.
Exceptional written, oral, and interpersonal skills.
An ideal candidate will also have familiarity with Kripalu, its many stakeholders, and a passion for its mission. Familiarity with Kripalu pedagogy is a plus.
Strong computer skills, especially Word, Excel, PowerPoint, and Outlook.
Strong organizational and clerical skills and ability to coordinate project oriented tasks.
Must be self-directed, self-confident, and articulate.
Meticulous attention to detail.
Demonstrated high engagement with administrative process and procedure.
Demonstrated ability to work independently.
Demonstrated ability to manage staff and to manage up.

SCHEDULE

Some evenings and weekends as necessary for special events.
