This position is located at the Alaska VA Healthcare System (AVAHS), Fairbanks Community Based Outpatient Clinic (CBOC) on Bassett Army Community Hospital, Ft. Wainwright, Alaska. Work collaboratively in an interdisciplinary coordinated care delivery model (PACT). Duties of this position include, but are not limited to, the following:Work impacts the administrative aspect of patient care: Access, schedule/coordinate appointments using advanced clinical access principles, collect and update demographic and insurance information, manage the Electronic Waiting List (EWL), patient processing and customer service.Assure that various aspects of staffing, training, compliance, reporting, quality assurance, and budgetary initiatives are met which affects the revenue cycle, patient access to care, hospital performance goals and objectives.Identify and develop ways to resolve problems with the administrative and clinical staff on access, customer service, patient flow, revenue, and data validation issues.Clinical Support Section: Receptionist the clinic, either face-to-face or telephonically, require excellent customer service skills.High degree of judgment in responding to both employee and patient concerns and provide solutions to process problems as they affect day-to-day operations.Visits to off-site clinics to fill-in for or interact with the Clinical Support Section employees and clinical/administrative staff.Assist with clinic access contingency plans by adjusting appointment times, location, or dates as well as shift patients to other healthcare providers as conflict with staffing and/or coverage occurs.Screen/receive phone calls in a courteous and timely manner, determine the nature of requests and provide the information desired using privacy rules and established clinic processes.Manage position responsibilities with little supervision as well as set priorities and deadlines adjusting the flow and sequencing of the work to meet team and patient needs.Participate in daily team and weekly team meetings where patient care planning and management occur.Notify supervisor when clinic access or patient cannot be scheduled within mandated clinic timeframes.Daily review of active/pending consults, EWL, Recall list and Audiocare communications for accuracy and disposition.Coordinate administrative services for veterans, family members, caregivers, and general public, administrate and clinical staff to insure continuity of inpatient and outpatient care.When records are received, ensure that all health/administrative information are integrated into Computerized Patient Record System (CPRS) by sending the documents for scanning.Develop and maintain effective working relationships with all clinical and administrative staff in determining priorities of activities in support of direct patient care.Interpret and apply a complex body of pertinent laws, regulations, directives, and policies that relate to the administration of VA Healthcare Benefits.Direct work in the absence of supervisor.Fill in for other clerical staff as needed (Program Support Assistant and other MSA's).Complete personnel reports, rosters, and maintenance of supplies and forms.Generate patient workload reports for validation and monitor activity in clinical areas.Organize and implement quality assurance monitors; prepare a wide variety of administrative reports and documents.Conduct patient/employee surveys, interviews, observe workflow; guides patients through hospital system, input referrals, documents complaints, and provide follow-up and suggestions to supervisor.Assist in processing Veterans travel payment vouchers for the Beneficiary Travel Program and Health Benefits Unit.Explain complex regulations and eligibility criteria concerning Veterans' entitlements and VA benefits, priorities for care, access to care and advanced clinic access.
