The Executive Administrative Assistant will provide support to our Chief Legal Officer to ensure effective management of operations. By anticipating the needs of the Executive, this position provides the highest level of executive support. The person in this position must be a proactive individual who values attention to detail and accuracy, handles sensitive matters with discretion, and enjoys providing peace of mind that matters are handled appropriately in a professional manner. Candidate will be self-motivated and flexible with outstanding communication skills and ability to multi-task efficiently and effectively.The responsibilities of this position include:* Calendar maintenance, organizing appointments and meetings, submitting and approving expense reports, and booking travel arrangements* Manages, organizes and maintains department files and records* Receives/processes invoices and creates Purchase Orders for all Legal work and tracks Legal expenses* Produces requested materials such as documents, detailed spreadsheets, pivot tables, charts, graphs, presentation materials, mailing lists, and meeting agendas* Schedules meetings/appointments for Legal team, prepares and assembles materials and agendas for meetings as needed, sets up conference calls, and coordinates team functions* Handles scheduling and coordination of logistics for board meetings on a recurring basis* Maintains company minute books* Assists with getting contracts executed and filed (including via electronic signature); helps maintain contract database* Frequently compose and finalize complex correspondence, reports and other-format documents, using experience and judgment to determine what should be included in each document* Answers telephone calls from outside organizations on behalf of Executive in a professional manner and with proper telephone etiquette* Determines urgency of calls and meeting requests, reprioritizing as necessary* Exercises independent judgment in bringing information and issues relating to the operations of the department to the attention of the Executive* Provides cordial and welcoming experience for visitors* Performs special projects to support the broader teams as necessaryThe requirements of this position include:* Bachelor's degree required* 5-7 years providing administrative support at the executive level; experience with legal support a plus* Advanced proficiency and strong working knowledge required in Microsoft Office Word, Excel, PowerPoint, Outlook, SAP/Invoice System and Adobe Acrobat X* Experience with a contract management system preferred* Advanced technological skills, including troubleshooting preferred* Must exercise the utmost discretion with confidential and sensitive information* Excellent written and verbal communication skills* Ability to prioritize work and provide a high level of customer service* Ability to cultivate and thrive in a collegial environment* Poses hard-working, confidence and self-starter traits with a passion for results* Self-motivated with a demonstrated ability to take initiative, make decisions and manage workload efficiently in a fast-paced environment* Excellent people skills and ability to develop and maintain productive working relationships with internal and external partners* Excellent attention to detail, organized, efficient and resourceful with strong follow-through skills* Brings a positive \"can do\" attitude to the workplace and work collaboratively with other members of the Legal and People teams as well as with other groupsAbout Us:Since our founding 10 years ago, we've always been a different kind of company.
