Job Summary

Under general supervision, performs secretarial and clerical functions, including typing, faxing, copying, and answering the phone. Schedules and coordinates meetings and facilities. May also include scheduling patient appointments, maintaining departmental patient records, greeting patients and families, and collating billing forms and referrals.

Job Responsibilities

* Responsible for all aspects of patient scheduling.
* Answers telephones, screens and routes callers, takes messages, and provides information to callers promptly and courteously.
* Performs reception activities by greeting patients and families, responding to inquiries, providing directions, and assisting families courteously.
* Schedules and coordinates meetings and facilities, which may include travel and lodging.
* Assists with administrative oversight of the department.
* Acts as a time keeper.
* Coordinates incoming and outgoing correspondence and other materials to department staff.
* Maintains all files.

Required Education and Experience

Required Education: High School/GED

Required Experience: 3-5 years of secretarial experience

Additional Technical Requirements

* Efficient typist with knowledge of grammar, punctuation, and spelling rules.
* Proficiency with hospital standard computer software, including Microsoft Word and Excel.
* An understanding of routine office functions.
* High level of interpersonal skill.
* Knowledge of hospital function in order to interact with other departments to transmit and obtain technical information such as patient records, physician consults, etc.
* Ability to interact with a diverse staff, yet follow established departmental policies that control work flow and priorities.
* Ability to handle multiple tasks, and to negotiate or mediate difficult situations.
