Job Summary
Under the direction of the Manager of Credentialing and Privileging/Medical Staff Affairs, performs complex, diversified administrative, operational and strategic functions; Must be detail oriented, manage multiple projects and priorities simultaneously and support peers; Act as department liaison to all applicable external and internal customers; Must have full working knowledge of the current TJC medical staff standards as well as other regulatory agencies, (such as DOH) related to medical staff credentialing and privileging of physicians, dentists and selected advanced practice providers; Must have working knowledge of primary source verification processes.
Job Responsibilities
Maintain TJC and DOH compliance for Medical Staff members
Examples/Instances:
Communicate with Division administrators regularly to review status of Medical and Licensed Practitioner staff applications and to review privileging criteria.
Communicate regularly with Manager of Credentialing and Privileging and Lead Credentialing Coordinator regarding the status of all requests for initial appointment and reappointment to the Medical and Licensed Practitioner Staff.
Coordinate biennial reappointment process with Division Administrators to ensure compliance with CHOP Medical Staff Bylaws and regulatory agency standards.

Maintain and perform computerized and/or manual recordkeeping functions.
Examples/Instances:
Monitor data collection for medical staff and advanced practice provider files to ensure licensure and credentials are current.
Coordinate periodic requests for medical staff information from hospital departments such as Public Relations, Development and Marketing.
Ensures that primary source verifications are performed in a timely manner.

Provide administrative oversight for internal systems
Examples/Instances:
Develop and maintain automated response programs for accurate notification of time-sensitive documents pending expiration.
Continually review internal documents and updates as required for regulatory compliance.

Assures superior customer service
Examples/Instances:
Use independent judgment when problem solving; Seek assistance from manager, team lead, or team member immediately when necessary
Recognize customer concerns, prioritize them appropriately and follow-up within 24 hrs on all queries
Monitor compliance of assigned departments for all outstanding documents, files and/or signatures required to complete appointments and/or reappointments

Provide administrative support to Manager, Director and CMO
Examples/Instances:
Provide support for periodic projects as required as part of Department s ongoing effort to meet TJC and other regulatory requirements.
Coordinate annual DOH audit data submission, assist manager in preparing for regulatory agency site visits and surveys.
Advise manager of anticipated problems involving licensure or accreditation.
Required Education and Experience
3-5 years Medical Staff office or physician credentialing experience required.
Intermediate working knowledge of credentialing management database systems, MS Word, Adobe, and Excel required.
Strong background in processing licensing renewals, verifications and data searches required.
Must have working knowledge of on-line licensing and board queries.
Preferred Education, Experience & Cert/Lic
Bachelor s degree preferred
Previous experience in Joint Commission and DOH site surveys preferred.
