Employment Status: AP - Active - Regular - Part Time
The Admission Coordinator (AC) is responsible for registering, collecting demographics, insurance information, receiving payments associated with co-payments and any other duties necessary to provide efficient, timely registrations to the patients and families of CHOP. The AC is responsible for accurate and complete patient accounts based on departmental protocol, policies and procedures, and compliance with regulatory agencies. The AC ensures all admission consent forms, regulatory forms, insurance requirements are met and informs patients of their financial liability i.e. copayments. This position requires the use of high level customer service skills and communication skills with our families, departments and clinical staff by phone and face to face. The AC must be flexible and willing to rotate areas and shifts periodically. Perform other duties as assigned.
* Complete the admission process for all elective and emergent admissions entering the facility through the Inpatient Welcome Center, Emergency Department, Emergency Transport, Peri-Operative Complex, Day Medicine, while rendering the highest quality of service to complete the admission process in a timely manner.
* Review assigned patient work queues to ensure all patients admitted have been seen by an admission coordinator upon arrival to CHOP.
* Update the primary care physician and referring physician in Epic 100% of the time to support Operating Plan initiative.
* Consult with parents of newborns to assist them in adding newborn to their coverage and documenting lifetime maximum information in Epic.
* Contact insurance companies for each admission to determine lifetime maximum, copayment responsibility of the patient, and summary of eligibility to ensure maximum reimbursement to the institution.
* Direct families through the Medicaid application process and consult with Social Work and Case Management as needed to obtain coverage for patients.
* Screen families to inquire about secondary insurance benefits
* Partner with Social Work to obtain consents for patients in DHS custody or living in a long-term facility. Determine who can sign consents and work to get consents completed in a timely manner
* Review Institutional HIPAA Opt Out process with families to determine OPT Out status for patient directory
* Ensure each appropriate admission has a completed Advance Directive Screening and contact Social Work when patient desires information about an Advance Directive
* Review the Patients' Bill of Rights with each patient and family.
* Review Patient Safety Standards with each patient and family
* Review Limited Visitation Policy and update Epic with appropriate information
* Review Medicare Rights with patients who have Medicare as primary or secondary coverage
* Determine the appropriate guarantor account needed for each admission and update Epic accordingly.
* Review each patient record for Data Mismatch Alerts and resolve each alert 100% of the time to ensure maximum reimbursement to the institution by having the correct payer and plan are attached to each admission.
* Obtain the patients pharmacy name and number to have ready in Epic for Clinicians
* Ensure each admission has the current Insurance and Prescription card scanned in Epic for Case Manager.
* Discuss Family Health Care Coverage program with all uninsured families and refers them directly to FHCP
* Review each trauma admission for possible motor vehicle accident, obtain motor vehicle insurance information and assist family in contacting claim adjuster to receive claim number to bill medical.
Required Education and Experience
Required Education: High School Diploma / GED
Required Experience: Experience in healthcare, physician billing, registration, medical office, and/ or customer service.
Preferred Education, Experience & Cert/Lic
Preferred Education: Associates degree or higher
Additional Technical Requirements
* EPIC Registration and Scheduling Training required within 1st month of employment.
* EPIC Training Certification Required yearly.
* Mandatory Regulation Training required throughout the year.
* Working knowledge of computers.
* Other training as needed.
