Join Cardno's Government Services Team in our Charlottesville, VA office to play an integral role in talent acquisition and HR administration.

Job Description:

The HR Administrator is responsible for performing HR related duties including talent acquisition and works closely with senior HR management in supporting designated offices and provides analysis of various HR programs. This position carries out responsibilities in the following functional areas: talent acquisition, onboarding, policy implementation, benefits administration, and employment law compliance.

The successful candidate will have extensive knowledge of computer software (Microsoft Office, HRIS systems, , high level of interpersonal skills to handle sensitive and confidential situations and documentation. Knowledge of HR office administration procedures. Attention to detail, ability to establish priorities and meet deadlines, and ability to operate with professionalism and discretion when handling confidential information are a must have. Excellent English communication skills, both verbal and written are also required.

Responsibilities include, but are not limited to:
  • Lead the on-boarding of new employees, including collection of all information needed for the employment documentation and entering new hire information into HR system; as well as the logistics of the orientation process in the US based office
  • Sourcing, recruiting and coordinating of new positions
  • Maintain recruiting files, documentation and candidate communication
  • Generate a pool of passive candidates
  • Extend negotiated offers to selected candidates
  • Implement recruiting process and procedures; review resumes; develop position descriptions; work closely with hiring managers to complete candidate selection
  • Conduct phone screens and reference interviews
  • Coordinate pre-employment background checks and drug testing
  • Instruct hiring managers on best-practices for employee onboarding; manage the hiring/onboarding process
  • Process employment verifications and unemployment claims; review and sort employee pay and work history to complete
  • Liaise with Human Resources Director, Hiring Managers, and IT to arrange for new hire onboarding and orientation; track all aspects of recruiting and hiring
  • Manage compliance of I9 through E-Verify
  • Manage data for various HR databases; responsible for tracking/updating/removing data as necessary; develop processes and procedures to ensure complete and timely information entry
  • Lead the separation process; this includes paperwork and follow-up HR actions. Schedule Exit Interviews and gather Exit data
  • Use discretion and judgement when intercepting employee personnel concerns; operate with a high level of professionalism and confidentiality in providing employees with necessary contacts and resources and bringing concerns to the HR Director as appropriate
  • Effectively review and process HR service requests and transactions, such as: personal data, pay data, and position data changes, employment verification's, and performing mass data changes as the situations arise
  • Work closely with the Global HR teams to ensure accurate and timely data entry into HRIS
  • Conduct regular audits of HR files, payroll entries, personnel data, and other relevant HR records; research compliance and best practices and implement these practices.
  • Conduct regular research to ensure the HR policies are up to date and aligned with new federal and state regulations. Make recommendations if necessary
  • Remain up-to-date on applicable employment laws, state and federal regulations, and HR Best practices
  • Track and manage all education reimbursement requests; certification bonuses, and employee referral bonuses
  • Arrange and facilitate benefit payments for employees on leave

Basic Qualifications:
  • 2-5 years of experience working in a business setting; with at least two years of experience working in a Talent Acquisition capacity
  • Knowledge of recruiting tools and software
  • Ability to work independently and determine priorities; direct own work
  • Extensive knowledge of computer software (Microsoft Office, HRIS systems such as WorkDay, and Deltek,)
  • Possess high level of interpersonal skills and professionalism to handle sensitive and confidential situations and documentation
  • Knowledge of HR office administration procedures
  • Attention to detail, ability to establish priorities and meet deadlines
  • Excellent English communication skills, both verbal and written
  • Experience in working for a US Government Contractor is a plus
