AMPEL BioSolutions (www.ampelbiosolutions.com) is located in the Lewis & Clark Building near Charlottesville s downtown mall. AMPEL is searching for a well-spoken, college-educated, communicative and responsible candidate to be an executive assistant for the co-founders of AMPEL s growing team of 25. Successful candidates will be discreet, personable, detail-oriented, professional and highly motivated to make the most of the Co-Founders limited time.
As a five year-old start-up biotech company currently focused on repositioning FDA-approved drugs for use by lupus patients ( AMPEL is looking for a well-organized person who will fit in with a start-up environment and enjoys completing tasks personally under the guidance of the owners, Dr. Amrie Grammer (COO, CSO) and Dr. Peter Lipsky (CEO, CMO), as well as the Director of Communications and Administration. The successful candidate will support the day-to-day needs of the owners as well as on-site/remote science and clinical operations teams.
Daily tasks include answering/directing calls, setting up conference calls for high priority meetings, scheduling/prioritizing meetings, screening/sorting email, managing calendars as well as filing scanned/emailed/eFAXed documents. In addition, the successful applicant will welcome guests that arrive for meetings and provide parking passes.
Weekly tasks include ordering office supplies, arranging/managing travel including the company Uber account, and working with the Director of Communications and Administration to keep the website up-to-date with respect to bios, photos, press releases etc. If qualified, the candidate will assist with the handling of receipts billing for accounts that include large pharma, small biotech, non-profits and clinical research organizations (CROs).
Monthly tasks include being the point person for sending files to printing vendors (ie for business cards, posters, etc.) and organizing storage of electronic copies. In addition the successful candidate will work with the Director of Communications and Administration to organize/print recruiting documents for UVA Career Fair as well as to follow up with intern and job applicant files.
An interest in science and clinical trials with make this job more enjoyable on a day-to-day basis. The successful candidate will be skilled at using Microsoft Office (Outlook, Excel, Powerpoint and Outlook) as well as Webex/Skype/Zoom, Adobe, and LinkedIn. Experience with eFAX, Prism, QuickBooks, WebEx and DocuSign Experience is appreciated but not required as co-founders require assistance with proofreading, typing and formatting various types of documents.
Effective use of technology, reliable transportation to the office, and the ability to start no later than the second week of July is a must. While the successful applicant will be primarily working with co-founders, AMPEL expects candidates are able to work, communicate, and collaborate as part of AMPEL s larger administrative, scientific and clinical operations team.
